privacy policy

Last updated: April 2025

Hi, I’m Hannah, the founder of Hannah Hilbery Coaching & Consulting. I take your privacy seriously, and this policy explains how I collect, use, and protect any personal data you share with me.

1. What I collect

I may collect and store personal data such as:

  • Your name and contact details (like email address or phone number)

  • Details you share through contact forms, enquiries, or intake forms

  • Information about your job, company or business (if relevant)

  • Any data you choose to share when booking time with me

  • Website usage data (if and when analytics tools are added)

2. How I collect your data

I collect information when you:

  • Fill in a contact or enquiry form

  • Book a session through Calendly

  • Email me directly

  • Work with me as a client (coaching or consulting)

  • Visit my website (limited at the moment, but cookies/analytics may be added later)

3. Why I collect your data

I only collect the personal data I need, for reasons like:

  • Responding to your enquiries

  • Providing coaching or consulting services

  • Sending updates (if/when I launch a newsletter)

  • Improving the website and your experience over time

4. Third-party tools

I use a few trusted tools to help run my business. These may process your data securely on my behalf:

  • Calendly (for booking meetings)

  • Zoom (for video calls)

  • Google Sheets/Drive (for storing notes, securely)

  • I may use email tools or analytics (like Google Analytics) in the future - this policy will be updated when I do.

5. Sharing your data

Right now, I don’t share your data with anyone else. If this changes (for example, if I start using a newsletter provider or payment processor), I’ll update this policy and let you know.

6. International transfers

Some of the tools I use may process data outside the UK/EEA - for example, Calendly and Zoom. These providers are required to meet GDPR standards, and I only use tools I trust to handle your data with care.

7. How long I keep your data

I only keep personal data for as long as I need it:

  • Client records are kept for up to 6 years (for legal/accounting reasons)

  • Enquiry details are stored for a reasonable time in case we reconnect

  • You can ask me to delete your data at any time - see below

8. Your rights under GDPR

You have rights over your personal data, including:

  • Accessing the data I hold

  • Correcting or updating it

  • Asking me to delete it

  • Objecting to how it’s used

If you’d like to do any of the above, just drop me a line.

9. Who’s responsible

The data controller is:

Email: hello@hannahhilbery.com

10. Cookies and website tracking

At the moment, I don’t use cookies or analytics. If that changes, a cookie banner will appear and this policy will be updated.

11. Feedback and Testimonials

If you choose to share feedback (for example, after working with me on the Get Unstuck programme), I may ask for your permission to use your words as a testimonial for marketing purposes.

I’ll always check with you before using anything publicly, and you can let me know whether you’re happy to be named, anonymised, or not quoted at all.

Sharing feedback is completely optional.
